File Extension Ppt

Files with the .ppt file extension are presentations created with Microsoft PowerPoint 2003 or earlier versions. They should not be confused with presentations made in later versions, as these files carry the .pptx extension. Microsoft PowerPoint is a presentation suite used to create multimedia presentations for business or public relations applications. Finished PowerPoint projects can be saved with the .pps extentions, which simply tells the Windows environment that the project is a completed slideshow. The .ppt file format is consistent with a tree structure of various records. These records are either containers or atoms, but no record can be both. Several containers exist at the top level rather than a single container with subs therein. Records are always stored in Little-Endian format which means the least important bytes go first. Each record, be it container or atom has a standard 8 byte header which will be uniform across all .ppt files. Microsoft PowerPoint is the standard software package to open, edit, and access the .ppt information. It is packaged with the Office suite which must be purchased separately from the operating system. Since office 2003 was the last version to use the .ppt extension, presentations created with later versions are not usable by the older software. The later versions do offer backward compatibility; this is, they will be able to open and edit .ppt files. Microsoft Office is available for Windows and Mac, while Linux users report successfully running office '97 in Linux under Wine.

The OpenOffice.org suite is a free and open source package compatible with Microsoft Office. It fully supports .ppt and .pps files allowing the user to both import them and save new presentations in that format. Generally this can be done with little difficulty, but as with all importations, some graphics and formatting may not be preserved. In that case the user will have to review the project and make the appropriate changes. OpenOffice.org is available for Windows, Mac, and
Linux.

Two other multi-purpose productivity suites support .ppt the file format; Apple Keynote and ACD Systems Canvas. Individuals and business that use OCR software for converting paper documents to digital can use Nuance OmniPage Pro X, which supports converting the acquired documents to .ppt upon completion. It must be noted that even the most reliable OCR software is not foolproof. Documents should always be checked for error before exporting to .ppt.

Microsoft's .ppt files utilize ActiveX Controls, Flash media, and a host of other technologies that pose inherent security risks. Although unlikely, it is possible for a hacker to embed malicious code in a .ppt file and program it to execute using an ActiveX control. Some antivirus packages can detect this code through a simple scan, others cannot. It is suggested that users always be sure to have their antivirus software updated and actively monitoring the system before opening a .ppt file from an untrusted source.

One of the most common errors with a .ppt file usually states something similar to "Some controls on this presentation can't be activated. They might not be registered on this computer." Generally this issue is caused by unregistered Flash components that the presentation requires. Users can consult Microsoft Support for instructions on how to register flash .ocx files.

Another common error occurs when a presentation reaches a very large size, usually due to an abundance of graphic files being used. The system may freeze when the memory reaches its capacity, thus requiring a hard shutdown and re-boot. In this case it is quite common for the .ppt to become corrupted and thus unusable. Upon re-booting and opening the .ppt file, instead of seeing slides the user will see the black panel indicative of starting a fresh project.
